Position Overview
The Canadian Association of Medical Aesthetics (CAMA) is seeking a highly organized and detail-oriented individual to support daily operations, including student file management, data tracking, communications, and administrative coordination. This role requires managing accounts, bookkeeping records, processing payments and refunds, and assisting with financial reporting. The ideal candidate will be tech-savvy, skilled in digital organization, and able to thrive within a supportive team with professionalism and care.

Key Responsibilities

  • Schedule classes and send/confirm internal updates
  • Manage student registration, scheduling, and communications
  • Handle payments, invoices, and student files
  • Maintain bookkeeping and assist with financial reporting
  • Manage data, class schedules, and documents professionally
  • Support weekend operations, including coordinating schedules and handling last-minute changes

Bookkeeper (Full-Time, Permanent) Mississauga— $20.00/hr

Location: Mississauga, ON (on-site with potential hybrid after onboarding)

Reports to: Director, Finance/Operations

Position Overview
We’re seeking a detail-oriented Bookkeeper to support day-to-day accounting across three brands: CAMA, Therapeutic Aesthetics, and the Canadian Aesthetics Expo (CAE). You’ll handle AP/AR, bank reconciliations, invoicing, and month-end closes, while collaborating with different teams and departments on transactions (CAMA, TA, CAE).

Key Responsibilities

  • Accounts Payable: Reconcile credit cards, bills, code expenses, process payments, issue/delete invoices, manage vendor statements and pay schedules
  • Bank & GL Reconciliation: Weekly reconciliations for multiple entities and accounts; investigate variances promptly
  • Sales, Taxes & Compliance:

    • Track transactions across multiple entities, deposits, payment plans & tax GLs
    • Calculate, file, and remit HST, ensuring compliance and documentation are up to date
    • Prepare financial reports for leadership team
  • Payroll Support: Prepare timesheet summaries, coordinate with third-party vendors, and verify commission/bonus reports
  • Month-End Close: Accruals, deferrals, prepaid schedules, and asset reports; produce P&L, Balance Sheet, and cash flow statements
  • Expense Control: Track budgets and provide reporting for each department and brand
  • Cash Flow Reports: Forecast future cash flow, flag risks, and recommend improvements

What You Bring

  • Proficiency with accounting software (QuickBooks Online or Xero), Google Sheets, Excel, and integrated accounting tools
  • Comfortable working across CAMA’s connected teams (beauty, medspa, events, clinics, delegates, leads)
  • High attention to detail and accuracy
  • Strong grasp of Canadian accounting standards and double-entry bookkeeping

Position Overview
We’re looking for a friendly individual to ensure smooth daily operations. You’ll welcome students and models, keep paperwork and logistics organized, and support instructors in ensuring the class day runs efficiently.

Key Responsibilities

  • Greet students, models, and visitors; direct them to their classrooms.
  • Help instructors distribute materials, print and organize attendance sheets, and set up class stations.
  • Model check-in for CAMA’s hands-on classes, track registration accuracy, and direct people to the right rooms.
  • Contact models or clients for appointment confirmations.
  • Prepare student kits and files and keep the front desk area organized.
  • Maintain student records, schedules, and updates.
  • Handle class schedules, placements, instructor needs, and manage day-to-day distribution of forms.
  • Check and organize student registration forms and payments (training provided).
  • Provide administrative support for instructors, events, and student initiatives like Operations lead.

We’ll Train You On:

  • CAMA’s scheduling system, student protocols, and workflows.
  • Check-in procedures and model database management.

What You Bring

  • Positive, reliable, and organized — you like checklists and being on time.
  • Comfortable communicating with students, models, and instructors.
  • Able to stand/walk most of the day during long back-to-back class days (2–3 hrs).

Key Responsibilities

  • Create, schedule, and post content for Instagram, Facebook, LinkedIn, and TikTok.
  • Develop monthly social media calendars and align them with campaigns.
  • Monitor comments/DMs and reply or escalate to the right team member.
  • Track basic data (reach, followers, and engagement) and share a simple weekly report.
  • Assist with photography (class shoots, headshots, branding) and quick video edits.
  • Support events such as Open Houses, workshops, and CAE shows (training provided).
  • Make simple graphics (quotes, reels covers, ads, etc.) using Canva/CapCut or similar tools.
